Venture Workspace is committed to protecting personal information and enabling lawful access to information as required by the Protection of Personal Information Act, 4 of 2013 (POPIA) and the Promotion of Access to Information Act, 2 of 2000 (PAIA).
1) Our PAIA Manual
Our PAIA Manual explains what records we hold, which are automatically available, and how to request access under PAIA. It also sets out applicable fees, forms, and our contact points.
PAIA requests must be made on Form 2 and sent to our Information Officer (details below).

3) What Personal Information We Process
We process typical business information such as identification, contact and billing data, access control/CCTV logs (for safety), and communications relating to our services. Category examples and lawful bases appear in our PAIA Manual and in this notice.
4) Why We Process It (Lawful Bases)
We process personal information to:
- deliver and administer our services (contract),
- secure our premises and systems (legitimate interests/legal obligations),
- meet legal/financial obligations (law),
- communicate service updates and marketing (consent/legitimate interests; opt-out always available).
Our approach aligns with POPIA’s processing conditions and the Regulator’s guidance (e.g., direct marketing).
5) Cookies & Analytics
We use necessary cookies for site functionality and (where enabled) analytics cookies to improve the website. You can manage non-essential cookies via our cookie banner/settings.
6) Direct Marketing
We only send electronic marketing in compliance with POPIA section 69 and the Regulator’s Guidance Note on Direct Marketing. You can unsubscribe at any time via the link in our emails or by contacting us.
7) Sharing & Operators (Processors)
We share personal information with trusted service providers (“operators”) under written contracts that require POPIA-level safeguards (e.g., IT hosting, access control, payments). We also share where law requires (e.g., regulators, courts). Examples appear in our PAIA Manual.
8) Cross-Border Transfers
Where information is stored/processed outside South Africa (e.g., cloud services), we use jurisdictions with similar data protection laws or implement appropriate safeguards/agreements to meet POPIA’s requirements.
9) Security
We maintain organisational and technical measures proportionate to risk (access controls, encryption where appropriate, monitoring, retention limits, operator due diligence). These align with practices visible in recent PAIA/POPIA manuals across sectors.
10) Retention
We keep records only as long as needed for business, legal, and regulatory purposes, after which we de-identify or securely destroy them, as outlined in our PAIA Manual.
11) Your POPIA Rights
You may:
- Access the personal information we hold about you,
- Request correction or deletion where justified,
- Object to certain processing,
- Withdraw consent where processing is based on consent,
- Complain to the Information Regulator (see below).

12) How to Exercise Your Rights (Access/Correction/Deletion)
- Access to records (PAIA): Complete Form 2 and send it to our Information Officer. Fees, categories of records, and response times are in our PAIA Manual.
- Correction/deletion (POPIA): Send a signed request to the Information Officer describing what should be corrected or deleted and why (attach supporting proof where relevant).
- Identity verification: We must verify your identity and may require additional information where necessary to protect your data.
13) Data Breaches
If a security compromise affects your personal information, we will notify you and the Information Regulator as required by POPIA. The Regulator now supports e-portal submissions for certain reports/filings; we follow the current process prescribed by the Regulator.
14) Complaints
If you believe we are not handling your information lawfully, please contact our Information Officer first so we can resolve it.
